Assistant Project Manager – Infrastructure Refresh

Location: Hybrid (Oak Brook, IL – 2-3 days onsite)

Th e Assistant Project Manag er will work closely with th e IT PMO, Planning Team, and Installation Te am to ensure that all equipment is properly assessed, procured, and scheduled for installation. The ideal candidate ha s prior experience in an infrastructure refresh proje ct and understands the fundamentals of networking equipment, deployment logistics, and project coordination.

Key Responsibilities:

Project Coordination & Planning

• Work wi th vendors and internal te ams to assess infrastructure requirements for store installations
• Analy ze site survey repo rts, identifying equipment needs (racks, routers, switches, cabling).
• Collaborate with t he Network T eam to determine hardware availability and purchase requirements.
• Maintain an accura te Bill of Materials (B OM) for each site, ensuring all necessary components are accounted for.
• Track and monit or equipment shipments and deliver ies to ensure readiness for installation.
• Develop and maintain t he Installation Calen dar, tracking multiple locations in various project stages.

Execution & Cross-Team Collaboration

• Facilitate meetings between vendors and the internal IT team to align on site requirements.
• Act a s a liaison between the Planning Team and Installation Team, ensuring smooth handoffs.
• Work closely w ith store managers and business lea ders to communicate installation schedules and expectations.
• Escalate issues proacti vely, ensuring timely resolutions and minimal disruptions.
• Assist in track ing cost estimates, quotes, and budget alloca tion for setup-related spending.

Must-Have Qualifications.

• Experience with IT infrastructure refresh pro jects (network deployments, upgrades, or similar initiatives).
• Understandin g of networking equi pment (routers, switches, cabling, racks – no configuration required).
• S t rong organizational and project tracking s kills, including proficienc y in Google Sheets, Excel, Jira, or SmartSheets.
• Ability to ma nage multiple project time lines across different locations.
• Experienc e in vendor coordination and tracking Bill of Materials (BOM).
• S t rong communication and stakeholder management s kills (internal teams, vendors, MSPs, ISPs, etc.)
