Job Description

Our firm is seeking a highly skilled  Operations Manager to oversee office administration, staff management, and workflow efficiency. This is a leadership role designed for a positive, proactive, solution-oriented professional who thrives in a dynamic environment. The right candidate will not only identify areas for improvement but also develop and implement solutions that enhance productivity across the firm.

Key Responsibilities

  • Leadership & Staff Oversight : Directly supervise administrative and support staff, ensuring workflows are efficient and that firm policies and procedures are consistently followed. Conduct regular staff check-ins and proactively identify areas for improvement. Promote a congenial and supportive work environment.
  • Process & Workflow Management : Maintain and refine firm workflows, ensuring systems align with operational needs. Proactively propose and implement solutions to increase efficiency. Experience with workflow diagramming (Lucidchart, Visio, or similar) is a plus.
  • Technology & Innovation : Oversee firm technology platforms, assist with onboarding staff on new systems, and explore innovative tools to improve firm operations.
  • Project & Task Management : Maintain an active project list and utilize the firm’s electronic task-management system to track ongoing initiatives. Provide bi-weekly updates to the managing partner and report to the full partnership as needed, using sound judgment to determine when real-time updates are warranted.
  • Client Success & Deadline Management : Ensure that deadlines are met, office systems are followed, and firm protocols are consistently honored by actively monitoring workflows, addressing bottlenecks, and supporting staff in meeting expectations.
  • Problem-Solving & Firm-Wide Improvements : Serve as the firm’s  Head Problem Solver by proactively identifying challenges, presenting well-reasoned solutions, and collaborating with leadership and staff to brainstorm and develop proposals for optimizing firm performance.

Skills & Experience

  • Law Firm Experience Required : Strong preference for candidates with prior law firm experience, even if they have not previously held a management role.
  • Leadership & Team Management : Experience overseeing staff, managing workflows, and maintaining accountability within an office setting. Performance review experience is a plus.
  • Technology & Software : Strong proficiency in Microsoft Office, including Excel and Outlook. Experience with legal practice management software and document creation software is a plus.
  • Training & Adaptability : Must be able to adapt to changing situations and priorities while maintaining a good attitude. Must possess a willingness to learn about and implement new technologies, be able to guide staff through transitions, and keep abreast of industry trends.
  • Strong Communication & Judgment : Must be a clear, proactive communicator—keeping leadership informed of challenges and solutions without waiting to be asked.

Work Structure & Expectations

  • Full-Time, In-Office Role with standard hours (8:30 a.m. – 4:30 p.m.), with flexibility for non-standard work hours during major projects.
  • Reports to the Managing Partner while maintaining accountability to all partners.
  • Bi-Weekly Partner Meetings to provide structured updates on firm operations, with additional communication as needed.

Compensation & Benefits

  • $75,000–$95,000 DOE, with bonus potential.
