Role Overview

The Marketing Administrator is the organizational backbone of the WVH marketing team. This role supports day-to-day marketing execution, keeps campaigns on track, and ensures that our digital assets, imagery, and communications are well-organized and accessible across the business. The ideal candidate thrives in process-building, has a sharp eye for detail, and is excited to support both creative and operational marketing functions.

Key Responsibilities Marketing Administration & Coordination
  • Manage social media and email campaign scheduling, ensuring accuracy in timing, codes, and messaging.
  • Create and maintain project templates for each campaign, including project details, codes, dates, and deliverables.
  • Oversee user-generated content (UGC) process, including spreadsheets, naming conventions, and folder organization.
  • Maintain and update the master product spreadsheet with SKUs, barcodes, and key product data.
  • Build and manage a visual tracker of all customer communications (emails, SMS, customer service notices, sales assets).
  • Ensure Dropbox and digital folders are organized and consistently maintained for easy access.
  • Serve as liaison for printing facilitation of marketing collateral.
  • Manage brand compliance platforms (e.g., Design Shop, Material Bank) and update assets as needed.
Asset & Imagery Management
  • Compile and maintain a master bank of high-resolution images from shoots and web folders.
  • Clip, edit, and organize images by region, ensuring accuracy and accessibility.
  • Develop and maintain a global imagery library for trade, sales, and creative use.
  • Create and maintain a Figma board with thumbnails for all available imagery and shoots.
  • Ensure one master folder for CS/Sales teams with properly named imagery and technical sheets.
  • Collaborate on and maintain brand guidelines for photography, AI imagery, and video standards.
Reporting & Support
  • Support campaign performance tracking, reporting, and file organization.
  • Assist with coordination of trade shows and event marketing logistics.
  • Provide day-to-day support to the creative and marketing team by keeping deliverables and timelines on track.
Qualifications
  • 1–3 years of experience in marketing administration, project coordination, or asset management.
  • Exceptional organizational and file management skills.
  • Strong attention to detail with the ability to maintain consistency across large volumes of assets.
  • Familiarity with tools such as Dropbox, Figma, Brand Comply, Material Bank, and project management platforms (Asana, Trello, Monday, etc.).
  • Working knowledge of digital marketing platforms (social scheduling, email platforms, analytics tools).
  • Comfort with spreadsheets (Excel/Google Sheets) for data tracking, product information, and campaign templates.
  • Bonus: Experience in design, building materials, home improvement, or a related creative industry.
