Job Summary:
Ensures that all information needed for birth, loss, and stillbirth certificates is submitted accurately and on time to the State of Michigan, which is crucial for maintaining the integrity of vital records.
Acts as the main point of contact for patients and families, expertly guiding them through the birth certificate worksheet and the Affidavit of Parentage process.
Efficiently collects and compiles necessary state and county information from various systems and the Parent Information Worksheet for entry into the State of Michigan Vital Events Registration Application (VERA).
Builds and sustains strong working relationships with the Washtenaw County Clerk's Vital Records Office and the Michigan Department of Health and Human Services, staying updated on all system changes.
Submits daily data to County and State entities in the required format and keeps management informed with regular weekly and monthly statistical reports, including updates on County/State releases
Responsibilities:
Works directly with parents or guardians of newborns at Michigan Medicine's Von Voigtlander Women's Hospital to collect required medical and statistical information for county and state records. This includes information on live births, stillbirths, and fetal deaths.
Searches all systems to find the necessary information for county and state submissions and reports.
Accurately enters data into the State of Michigan's VERA (Vital Events Registration) system.
Reports any potential errors in chart documentation immediately and helps correct them.
Identifies problems and suggests solutions for improvement.
Follows all regulatory, legal, and accreditation requirements, asking for clarification if needed.
Informs management of any issues that need quick review and resolution.
Performs additional tasks as needed to support the department's efficiency.
CUSTOMER SERVICE
Provides excellent customer service to diverse patients, their families, clinicians, and staff, acting as a go-between for Revenue Cycle - Mid Service.
Communicates clearly with doctors, clinicians, unit staff, and other customers about record completion policies and procedures that affect operations and are required for reporting to the State of Michigan.

Answer Desk Phone using Cisco Finesse computer software application and department-issued equipment.
Review and respond (in writing and verbally) to requests for assistance.
Use various computer applications and programs to complete standard work.
Stand/Walk 67-100% (includes multiple patient floors).
Sit 34-66%.
Required Qualifications:
Certification as a Registered Health Information Administrator (RHIA) or a Registered Health Information Technician (RHIT) through the American Health Information Management Association (AHIMA). An equivalent combination of experience, education, or certifications may be considered to meet this requirement.
Knowledge of standard medical terminology.
Two years of experience using an EHR (electronic health record) platform (e.g., EPIC) and administrative systems.
At least two years in a customer service position, including in-person interactions.
Demonstrated proficiency using Microsoft 365 tools and applications.
Ability to multi-task in a fast-paced environment to meet deadlines.
Ability to walk long distances and stand for long periods of time.
Ability to work independently or in a team with minimal supervision.
Demonstrated strong verbal and written communication skills for interactions with patients, patient families, clinicians, and staff.
