Job Description

Our prestigious client has an opening for an Events Project Manager, to play a pivotal role in shaping a vibrant hub of entertainment and hospitality. This critical position drives best-in-class experiences and delivers long-term business value.

Seeking a highly organized and strategic Events/Project Manager to lead a variety of projects for their Events Production & Activation team. The scope will include event market research and analysis, development & implementation of event planning tools, event systems integration and SOP development, pro-forma/budget development, and milestone/critical path planning.

Role Details:

  • 6-12+ month W2 Contract Position
  • 5 days/week (40 hours) Onsite in Orange County, CA, collaborating in an energized office setting

About the Role:

  • Key Responsibilities:Research and Analysis: Research and provide analysis on Event Landscape including competitor/market analysis, and best-in-class events/event industry trends.
  • Budget Development & Forecasting: Develop detailed budgets, forecasting models, and financial tracking systems to ensure projects stay on time and under budget.
  • Support leadership by compiling business performance reports, cost-benefit analyses, and operational readiness assessments.
  • Vendor Management: Serve as the point of contact for vendor management—researching, negotiating, and onboarding suppliers to ensure consistency and cost-effectiveness.
  • Full Lifecycle Event Management: Guide events from inception through execution, encompassing operational requirements, process flows, scheduling, marketing, finance, security, Food & Beverage (F&B), Audio/Visual (A/V), ticketing, HR, and legal considerations.
  • Process & Documentation Development: Own the master calendar for Events, develop an serving as point of contact for all related parts of the organization. Create repeatable event development processes, templates, and costing analysis. Develop Standard Operating Procedures (SOPs) for event operational readiness, training, communications, and project closeout.
  • Project Management: Develop milestones for event planning, track progress, facilitate regular status updates including accomplishments, milestones, risks, and issues.
  • Strategic Vision: Collaborate on and execute the strategic vision for programming events, ensuring alignment with overall business goals to maximize visitation and business value.

Qualifications:

  • 5 -10 years of experience in event management, entertainment programming and/or project management roles.
  • Demonstrated ability to develop and execute scalable workflows for events, sponsorship activations, or entertainment programming.
  • Strong business development acumen with experience in research, budgeting, forecasting, and strategic planning
  • Advanced project management skills, driving multiple simultaneous work-streams, with cross-functional teams including marketing, sales, operations, finance, food & beverage,
  • Proven track record in planning and executing large-scale events, with strong understanding of creative, operational, financial, and logistical aspects.
  • Bachelor’s degree in Event Management, Hospitality, Business Administration, or a related field.

  • Exceptional communication and stakeholder management skills; comfortable presenting findings and recommendations to C-level leadership.
